By continuing to commission work from me you are indicating that you agree to my using your personal data as set out in this Privacy Notice.

What is Byword Translations?

‘Byword Translations’ is the trading name of Sole Trader and Professional Translator Francesca Gatenby MA (Cantab) MA (Leeds). I have been working as a Professional Translator since December 2010 and am based in Yorkshire, in the North of England.

What personal data do I hold and where does it come from?

I hold certain core information on all clients I work with. This usually includes your name, title, company address, telephone and email; it may also include basic account information for the purposes of invoicing. This information has been obtained exclusively in the course of normal business operations. I have never bought data and have no plans to do so in future.

How I use your personal data

The sole reason for me to use your personal data is for the purposes of carrying out and invoicing the work you commission from me. I have never sold, rented or disclosed personal data – and have no plans to do so in future. I will never share your data with third parties without your express consent, unless required by law to do so.

How long do I hold your data for?

I will only hold your personal data for as long as is necessary to fulfil the purposes for which it was obtained. The exact retention period depends on various factors, including its relevance for ongoing projects for the purposes of quality assurance and consistency of the brand message; the nature and sensitivity of the data; and the legal and statutory requirements I am subject to.

Your rights

You may request a copy of the personal data I hold on you at any point. You have the right to ask me to correct or update any personal data I hold on you where it is inaccurate. To ensure that your personal information is accurate and up-to-date, please advise me of any changes to your personal information that I need to be aware of. You may request that the data is curtailed or deleted, subject to the relevant legal and statutory requirements I am bound by.

Data security

As a Sole Trader I am the only person with access to the information held on my systems. I have procedures in place to ensure that your personal data remains secure and uncompromised, including password protection, data mobility and software update protocols and anti-virus software. I do not use either Cloud-based systems to store data or machine translation (MT) systems, e.g. Google Translate to process data.
